Guest sign-in log
Let guests who aren't family, like visitors at your events, sign in at the kiosk with their name and purpose and sign out when they leave. See who is here, and print or export the visitor log.
The guest sign-in log replaces the paper visitor sheet at your door. Each guest records:
- Date and Time in: filled in automatically, on your center's clock.
- Visitor full name
- Purpose of visit
- Time out: when they sign out.
It's for adults who aren't on a child's family, like friends and relatives at a family event, a licensing inspector, or a repair person. Parents and pickup people keep using their pickup code as usual. The guest log never checks a child in or out.
Turn on guest sign-in at the kiosk
Guest sign-in is off until you turn it on, so families at drop-off don't see an extra option.
- Go to Settings → Operations → Check-in Methods.
- Turn on Guest Sign-in on the Kiosk.
The kiosk shows a small line under the pickup-code keypad: "Not dropping off or picking up a child? Guest sign-in". A kiosk that's already running picks up the change the next time it's back on the keypad screen. In the app, kiosk mode needs the latest version.
Only owners can change this setting. Staff can log guests from the Calendar whether or not it's on (see Add guests from an event).
How guests sign in
- On the kiosk, the guest taps Guest sign-in.
- They type their full name and a purpose of visit. If you have an event on the calendar today, its name appears as a button: one tap fills it in.
- They tap Sign in. The date and time in are recorded automatically.
The screen stays on guest sign-in so the next person in line can go straight away. It goes back to the pickup-code keypad after a minute and a half with no taps, or when someone taps Pickup code.
If someone types a pickup code into the name box, the kiosk asks whether they meant to check a child in and offers to take them there.
How guests sign out
The guest sign-in screen lists everyone who's still here. To leave, the guest finds their name, taps Sign out, and taps again to confirm. If there are lots of guests, a search box appears.
On the kiosk the list shows first names and last initials only (like "Jordan R."), so passers-by can't read everyone's full name. The full name is in the log.
Add guests from an event
Staff can sign guests in and out from the event itself, with or without a kiosk.
- Go to Organization → Calendar and click the event.
- In Guests, click Add guest, type the guest's full name (the purpose is filled in with the event's name), and click Sign in now.
- When a guest leaves, click Sign out next to their name.
You can add guests on the day of the event only, because the time in is always the moment you add them. On other days, the event shows who came, with Print and CSV.
Guests who tapped the event's name at the kiosk show up here too. Guests who typed their own purpose appear in the Guest Log report instead.
See and export the visitor log
- Go to Reports and pick Guest Log under Attendance & Safety.
- Choose the dates (and a center, if you have more than one).
- Use Export CSV for a spreadsheet, or Print for a paper copy.
The log shows the date, visitor full name, purpose of visit, time in, and time out, plus how many guests didn't sign out. Times are always shown on your center's clock, wherever you're viewing from.
Common questions
A guest forgot to sign out. Open the event on the Calendar and click Sign out next to their name, or have them sign out at the kiosk next time. The time out is the moment it's signed out, so the log shows it on a later date if it was the next day.
Someone signed in by mistake. Owners and center admins can delete an entry from the event's Guests list (the trash icon). Use this only for mistakes, because it removes the entry from the log.
Do family members need to sign in as guests? No. Parents and pickup people use their pickup code to check children in and out. If a parent comes to an event and you want them in the guest count, they can sign in as a guest like anyone else.
