Edit center details and licensing info

Update a center's name, capacity, license, or address after it's been created.

Once a center exists, the Edit button lets you update anything except which organization it belongs to.

Edit a center

  1. Go to Organization → Centers.
  2. Click the center you want to edit.
  3. Click Edit in the top right of the detail page.

Click Save. Changes take effect immediately.

When to update license info

Every state requires a valid childcare license displayed on premise. When yours renews:

  1. Update License Number if the new license has a different number.
  2. Update License Expiry to the new expiration date.
  3. (Optional) Upload the new license PDF under Center → Documents if you use the docs feature.

Renewal reminders fire 30 days before expiry — worth keeping current.

Archive or delete a center

These are owner-only, and they live on the center's row on the Centers page rather than inside the edit form.

  • Archive closes the center's future (no new enrollments, staff assignments, rooms, devices, or shifts) while keeping every record and everybody's access. Use it for a closure, or for a site you have not opened yet.
  • Delete permanently removes a center, and only works when the center is completely empty. Use it for a duplicate or a mistake.

Multi-center orgs

If you have multiple centers, the dashboard's Center picker in the header lets staff switch which center they're viewing. Staff assigned to Center A won't see Center B's children even if they toggle the picker, because access stays scoped to the center they're assigned to. Archived centers are left out of the picker, so people only choose between sites that are actually running.

Troubleshooting

"You don't have permission to edit this center." You're a center admin for a different center in a multi-center org. Only super admins or center admins for that specific center can edit.

Changed timezone but timestamps look weird. Existing attendance/activity records keep the timezone they were stored in. Going forward, new records use the new timezone. You won't see retroactive shifts on old data.

Capacity reduced but still showing old max in reports. Reports are as of the time of the event. Go to Reports → Data Health to see if any reports need regenerating.
