Deactivate or delete a room
Take a room offline when you close it seasonally, or permanently remove an empty room from your center.
Two options, different trade-offs.
Deactivate — preserves history
Best for seasonal closures, temporary consolidations, or rooms you'll reopen later.
- Go to Organization → Rooms → click the room.
- Click Edit.
- Uncheck Active.
- Click Save.

After deactivation:
- Room no longer shows in the enrollment room picker
- Staff assigned to it keep their assignment, but won't see new children there
- Attendance dashboard hides the room from the "Rooms today" section
- All historical records (enrollments, attendance, activities) stay attached
Reactivate any time by checking Active again.
Delete — permanent, with a warning
Best only for a mistake (you created a test room) or a room that's been empty from day one and you want to tidy up.
- Go to Organization → Rooms.
- Hover over the room card — a trash icon appears.
- Click it → a confirmation modal explains what gets deleted.
- Type the room name to confirm, then click Delete.
What if children are still enrolled?
Delete is blocked. You'll see: "This room has N active enrollments. Move or withdraw those children before deleting."
Two paths:
- Move them to another room first — see Move a child between rooms
- Deactivate instead of delete — keeps the kids enrolled but marks the room inactive (rare but sometimes what you actually want)
Troubleshooting
"Delete" trash icon isn't showing. The room has active enrollments. Withdraw those first.
Deactivated a room and it's still showing on the attendance dashboard. The dashboard caches for a few minutes. Hard refresh or wait.
Deleted the wrong room. Email [email protected] within the hour — we can restore from backup if we catch it quickly. After that, the data is really gone.
Parents still see the old room on their child's profile. Parent app caches room info per-child. They'll see the update on their next app open, or within a few hours.
