Before and after school care

Set up school-age children who come before school and again after it. One room with morning and afternoon schedules, a plan per pattern, a second room when you need it, and attendance that keeps both stays.

A school-age child who comes at 7:00, leaves for the bus at 8:15, and comes back at 3:10 is the most common thing NestliCare used to get wrong. This page is the setup that works, in three parts: how to model the room and the plans, how to put a child in a second room when your before and after care really is a separate room, and what attendance does when a child checks in twice in one day.

Part 1: one room, with a schedule per child

Before and after care usually happens in the same space as everything else, so it does not need its own room. Keep one room and let each child's weekly schedule say when they are there.

  1. Turn on half-day sessions: on any child's Weekly schedule editor, use Turn on half-day sessions once for your organization.
  2. On each school-age child's profile (Details tab, Enrollment section), click the Weekly schedule row and mark each day Morning, Afternoon, or All day.
  3. Give each pattern its own tuition plan under Billing & Payments: a before-school plan, an after-school plan, and a combined plan for children who do both. Attach the right one on the child's Billing plan row.

A child on the combined plan is charged for both without needing to be in two rooms. Preschool children in the same room stay on All day with their own plan.

Part 2: a child who also attends a second room

If your before and after care is genuinely a different room, with its own teacher and its own posts, a child can belong to it in addition to their home room.

  1. Open the child's profile, Details tab, Enrollment section.
  2. Click the Also attends row and pick the room. No start date is needed; the child's home room, billing plan, and schedule stay exactly as they are.
  3. To take them out of the second room later, click the x next to it.

This works on the web dashboard and in the iOS and Android apps. Once a child also attends a room:

  • They appear on that room's roster for teachers, on its Room Mode tablet, and on its Room Insights card as expected when their schedule says so.
  • Their parents receive that room's announcements, messages, and calendar events.
  • Reports filtered to that room include them.
  • The room's enrolled count does not change. Seats are counted by home room only.

Withdrawing a child from their home room ends their second-room membership too.

Part 3: checking in twice in one day

Check the child in when they arrive in the morning, check them out when they leave for school, and check them in again when they return. NestliCare keeps both stays. Nothing about the morning is lost when the afternoon check-in happens.

Where you see the stays:

  • Attendance board: the child's row shows one bar per stay, and the line under their name lists each stay, for example 7:00–8:15 · 3:10–5:30.
  • Child profile, Attendance tab: the day lists every stay, and the hours for the day are the stays added together, not the gap in between.
  • Reports, Attendance records: one row per stay, which is what a licensing inspector expects to see.

To correct a time, open the day's editor as usual. On a day with more than one stay you are asked which stay first, then you edit that stay's check-in or check-out. A stay cannot be moved so that it overlaps another.
