Export a financial report

Run the Outstanding Balances, Invoices, Payments, and Billing Ledger reports and export any of them as CSV for your bookkeeper.

Every financial report lives in one place: Reports, in the Billing category. Each one is viewable on screen and exportable as CSV. There is no PDF export; use your browser's print-to-PDF for the on-screen view.

The four billing reports

ReportWhat it answers
Outstanding BalancesWho owes you, bucketed by how overdue they are. No date range, it is always "as of now".
InvoicesInvoice volume and status over a period. How much you billed, and how much of it is sitting unpaid.
PaymentsEvery payment and credit received in a period. This is the month-end report your bookkeeper wants.
Billing LedgerThe full ledger of charges and credits, line by line.

Outstanding Balances is the one to open when a family is behind. Payments is the one to export monthly.

Export any report as CSV

  1. Go to Reports and pick the report.
  2. Set the date range if the report takes one. Outstanding Balances and the roster-style reports do not.
  3. Click Export CSV.

The file downloads as the report's name plus the date you ran it, for example payments-2026-08-10.csv. It is UTF-8 with commas, and it contains exactly the rows and columns on screen, with your filters applied.

Multi-center organizations

If you run more than one center, the billing reports take a center filter. Leave it on all centers for an organization-wide view, or pick one center to see only invoices and payments belonging to it.

Center admins pinned to a single center always see their own center's figures, with no filter to change.

Who can export what

Outstanding Balances, Invoices, and Payments are available to owners and center admins.

Billing Ledger is different. It is transaction-level detail, so a center admin needs Finance access granted by an owner before they can open or export it. See Give a center admin finance access.

Reconciling with your bank

Your bank deposits will not match your NestliCare revenue exactly, and that is expected:

  • A card payment takes a couple of days to reach your bank.
  • Processing fees are netted out before the deposit.
  • Refunds come out of a later payout rather than reversing the original deposit.

For the payout side of that picture, go to Billing & Payments → Finances, which shows what has actually been paid out to your bank. Reports tell you what you earned; Finances tells you what arrived.

What is not in the export

  • PDF export. Not built. Print-to-PDF from the browser works.
  • Sales tax by jurisdiction. Not itemized.
  • A single family's year. Filter Payments by that family, then export. For a parent-facing document, use their annual statement instead.

Troubleshooting

The CSV will not open properly in Excel. Open Excel first, then use File → Import → CSV and pick UTF-8. Double-clicking sometimes guesses the encoding wrong.

Totals do not match what I added up from the CSV. Check the date range boundaries and your organization's time zone under Settings → General. A late-evening payment can land on the next day once time zones are applied.

I cannot see the Billing Ledger report. You need Finance access. Ask an owner to grant it on your staff profile.

Outstanding Balances shows a family I know has paid. Outstanding Balances is live. If a bank payment is still settling it has not cleared yet, so the balance is still open. Give it a couple of days.
