Emergency Offline Pack

Print a binder of emergency contacts, health info, and pickup codes so your center can keep operating if the app or your internet goes down.

Every system goes down eventually — your internet, your power, ours. The Emergency Offline Pack is the paper answer: one document that tells your staff who to call for each child, what they're allergic to, and how to verify the adult at the door, with no working device in the building.

Print it, put it in a binder by the front desk, and reprint it when things change.

Find it

Reports → Compliance → Emergency Offline Pack.

You can scope it to one center or one room with the filters at the top. Most centers print the whole center.

What's in it

Per child, grouped by room:

  • Name, date of birth, age, family name
  • Parents and guardians with phone numbers, and which ones are pickup-only family members
  • Emergency contacts from the enrollment paperwork
  • Allergies, printed in red with a ! marker so they survive a black-and-white printer
  • Medications, medical conditions, dietary restrictions, and the child's doctor

Then the pickup-code roster:

Every parent and family member in the org with their 4-digit pickup code, grouped by family. This is what lets staff verify an adult at the door when the kiosk can't check the code itself.

Rows marked family member are limited-access people the family added as pickup helpers. Their codes are just as valid as a parent's, online or off — the roster works the same way for everyone on it.

Two buttons, same content:

  • Print opens a formatted sheet in a new tab and sends it straight to your printer dialog. Fastest path to paper.
  • Download PDF gives you a real file, rendered server-side. Use this if you want to keep it, email it to a co-owner, or store it somewhere.

Keeping it current

The header shows when you last downloaded the pack and how many pickup codes have changed since:

Codes change whenever a parent resets one, so a printout drifts on its own. Reprint when that counter climbs, and always after enrollment or contact changes.

Using it during an outage

  1. Check the child in or out on paper. A blank sign-in sheet is under Reports → Printable Sign-in Sheet — print a few and keep them in the same binder.
  2. Verify pickups against the roster. Match the person to the family, and ask for their pickup code the way the kiosk would. Ask for photo ID if you don't know them.
  3. Call a full-access family member if anything is off. The roster confirms identity; your center's pickup policy still decides who may take a child. When in doubt, phone a full-access family member.
  4. Enter the paper records afterward. Once you're back online, add the check-ins and check-outs from your sheets — see Fix an attendance mistake.

Troubleshooting

The report isn't in my Reports list. You're signed in as a center admin, not an owner. Ask the account owner to pull it.

The pickup-code column is empty for someone. They've never had a code generated. Opening the pack generates one for anyone missing it, so the next print will have it.

A code on my printout doesn't work at the kiosk. It was reset after you printed. Check the staleness line in the header and reprint.

Allergies look black on my printout. Your printer is in grayscale. The ! marker in front of each allergy is there for exactly this reason — the information is still complete.
