What happens when I deactivate a staff member?

They can't log in anymore, and everything they ever did stays attached to their name. Deactivate rather than delete when someone leaves.

Two things, and only two:

  1. They can no longer log in. Their access ends.
  2. Their history stays. Every check-in they performed, every activity and photo they posted, every message and timesheet stays attached to their name, which is exactly what you want for your records and for licensing.

That is why deactivating, not deleting, is the right move when someone leaves. Deleting a person who has real history would punch holes in your attendance and activity records.

If they come back next summer, reactivate them from the staff list and they pick up where they left off. And if the same person was also a parent at your daycare, deactivating their staff side does not touch their parent profile; those are separate memberships on the same login.
